Guest Operations
Guest Operations is where the front office and guest service work: checking guests in and out, watching each room's TVs, and handling the requests guests send from their phones.
Open the console and pick a screen under Guest Operations in the menu. You need the Operations area โ see Areas and roles. Every screen updates live; there is no need to refresh.
Rooms
The Rooms screen lists every room with its guest, its TVs, and โ for rooms with IoT devices โ a summary of the devices: lights on, room temperature and setpoint, curtain, Do Not Disturb or Make Up Room, and the occupancy sensor. The summary is what the IoT service last read; Read devices reads all rooms again. Search by room number or guest name. Press a room number to open the room detail.
Room detail
The room detail puts one room on one screen: the guest, the TV with its power buttons, and every device of the room โ lights, curtain, courtesy panel, thermostat, and the occupancy sensor โ read again every 8 seconds while the screen is open. The device controls are the same as in IoT Manager โ Rooms: brightness is sent when you let go of the slider, the thermostat moves in half degrees, and the courtesy panel takes Off, MUR, DND or STC. You need the Operations or Devices area at Operator or above to send commands.
A banner says whether the devices are Simulated or Live. In a live room a command moves real equipment โ see Simulated and live.
Reading a room's TVs
| Indicator | Meaning |
|---|---|
| ๐ข On | The TV is online and its screen is on |
| ๐ก Screen off | The TV is online; the screen is off but the TV is still running |
| โช Offline | The TV has not reported in for more than about a minute |
| No TV | No TV is registered to the room |
A TV reports its status every 30 seconds. If it misses a little over two reports in a row, it is shown as Offline and its buttons are disabled. Common causes are a TV that is unplugged, a network problem in the room, or a TV switched off at the wall.
Turning a screen off and on
Use the On, Off, and Reboot buttons next to the TV.
- Off turns the screen off. The TV keeps running in the background, so it stays online and you can turn it back on from here.
- On turns the screen back on.
- Reboot restarts the TV. It shows as Offline for a short time and then comes back.
Why "Off" does not cut the power: a TV that is fully powered down cannot be reached over the network, so it could not be turned back on remotely. Turning only the screen off keeps the TV reachable. This relies on the
instant_powersetting in the TV Preset โ it must stay at2.
Check-in
Press Check in on a vacant room.
- Enter the guest's name and pick their language (English, Korean, Chinese and more). The TV and the guest's phone app show that language.
- Optionally pick an App template (for example VIP). It overrides the room's template for this stay โ the TV app and the features follow it. Leave it on Room default otherwise. Templates are set up in App Templates.
- Press Check in.
The guest is registered to the room, the room is marked as occupied, and the TV prepares a clean state for the stay and restarts. The TV greets the guest by name. Checking in a room that already has a guest ends the earlier stay first.
Logins stay while the guest stays. At check-in the TV is told to keep the guest's personal data โ the
Netflix, YouTube or Amazon accounts they sign in to โ even when the TV is switched off at night (the IDCAP property
security_level is set to 2). At check-out it is set back to 1, so that data is deleted when the TV
turns off and the next guest starts clean. A TV also sets this by itself when it starts, from whether the room has a
guest, so a missed command is corrected.
Check-ins can also come from the hotel's property management system (PMS) once it is connected: the same stay โ name, language, reservation number โ arrives by API and goes through the same steps as pressing Check in. Two check-ins with the same reservation number are one guest.
Check-out
Press Check out on the room and confirm.
The guest's stay is closed, the room is marked vacant, the guest's phone is
disconnected from the TV, and the TV restores the clean state prepared at
check-in โ clearing the guest's viewing history and data โ before restarting. The
TV's security_level goes back to 1, so the guest's app logins are deleted when the TV turns off.
If the room has devices, they are reset too, so the next guest does not find the previous guest's settings: Do Not Disturb, Make Up Room and Skip the Clean are switched off, all lights go off, and the thermostat returns to 22.5 ยฐC with the fan on Auto. Curtains are left as they are. If a device could not be reset, the confirmation says so โ check the room under IoT Manager โ Rooms. Each reset command appears in the room's command history marked check-out.
Check-out also ends the guest's phone access for good: the phone can no longer control the TV, change room settings, or send requests for that room. The next guest pairs with a new code. If the TV cleared its own data while restarting, it reconnects to the room by itself within 15 minutes (see Re-link).
Housekeeping
Housekeeping shows the courtesy panels of all rooms at once, as the IoT service last read them (Read rooms reads them again):
| Level | Meaning |
|---|---|
| DND | Do not disturb โ the guest does not want visitors |
| MUR | Make up room โ the guest asks for cleaning |
| STC | Skip the cleaning |
The numbers at the top count the rooms in each level. Filter the list with All ยท DND ยท MUR ยท STC. In the Set column you can change a room's level; turning one level on switches the other two off, and if a panel somehow shows more than one, Do Not Disturb wins over Make Up Room, which wins over Skip Cleaning. The housekeeping screen is part of the Room controls feature โ it is hidden when the site does not use it.
Requests
Open Requests. Requests that guests send from their phones appear here immediately.
Each request moves through these steps:
| Status | What to do |
|---|---|
| Pending | New request. Press Start when someone takes it. |
| In progress | Being handled. Press Done when it is finished. |
| Done | Completed. |
| Cancelled | Press Cancel on a pending or in-progress request if it will not be handled. |
Use Show at the top to switch between active requests, completed ones, and all of them. You can also create a request on a guest's behalf with New request โ for example after a phone call from the room. The services guests can request are managed in Services.
