Everyday scenarios

What each team does with the system on an ordinary day, step by step. Each scenario links to the full guide. Items marked Custom need Room devices (IoT) in the site's service package.

Front desk

A guest arrives

  1. With a PMS β€” check the guest in in the PMS as usual. The room's TV greets them by name within seconds and the guest app on their phone opens the room (PMS).
  2. Without a PMS β€” Guest Operations β†’ Rooms β†’ Check in: pick the reservation (or type a name), the language, and optionally a template for this guest (Check-in).
  3. Hand over the room. On the TV the guest scans the QR code β€” the phone becomes the remote (Guest Guide).

A guest changes room

In the PMS, move the reservation to the new room β€” the old room's TV is reset and the new one greets the guest; their phone follows. Without a PMS: check out of the old room and check in to the new one. Custom: the guest's temperature, curtains and lights go with them.

A guest leaves

Check-out in the PMS (or Check out in Rooms, or automatically at the hotel's check-out time). The TV clears the guest's history and app logins (Netflix and the others) and turns its screen off until the next check-in; the guest's phone is disconnected (Check-out).

Before arrival

Every reservation has a guest link β€” copy it into the confirmation email from Guest Operations β†’ Reservations. Before arrival it shows the room type and the hotel; on arrival it becomes the room's app (Reservations).

The guest

Housekeeping (Custom)

Guest Operations β†’ Rooms shows Make up room, Do not disturb and Skip the clean for every room as the guest sets them on the panel or the phone; filter by them to plan the round, and change them from the row (Housekeeping).

Content

A new channel or a channel change

Content Manager β†’ Watch β†’ Channels: add the channel or import the new TLL file; turn channels on or off. TVs get the list the next time it opens (Channels).

Something only for suites

On a channel, app or movie, Shown in β†’ Only rooms of these types. Preview as: Suite shows exactly what a suite gets; Order for Suite puts it in the order you want (Shown in, Order).

A seasonal look

Templates β†’ New app template by AI with the season's photos, then Deploy it to all rooms β€” and deploy the usual template back after the season (Templates).

Hotel services and the menu

Content Manager β†’ Services: what guests can request, with a description and a photo (Services).

Engineering

A TV is offline

The Dashboard opens an issue when a TV misses its checks β€” TV in room 632: Offline. Check the power and network; when the TV reports in again, the issue closes by itself. Guest Operations β†’ Rooms has On/Off and ↻ restart in each room's row (Rooms).

An app does not open

An issue Netflix is not activated means the app company's token is missing or wrong on that TV β€” check the token in Watch β†’ Apps, then Register on online TVs (Smart Apps).

A new TV or a replaced one

TV Manager β†’ TVs β†’ Add TV for the room (or Re-link for a replacement): the TV gets the room's preset, template, channels and apps by itself (Adding a TV).

The manager

The Dashboard each morning: rooms in house, arrivals and departures, open requests, the TVs and Issues. Anything the checks cannot see β€” a guest complaint, a screen that looks wrong β€” goes in with Report a problem: the AI says what it is and what to do, and files an issue for the right people (Report a problem).
